Administrator

Hamilton Food Share is seeking a full-time Administrator to join the team end of July, 2018. This position reports directly to the Business Manager with key responsibilities in Central Administration, Financial & Accounting, Facility and Property, and Special Projects.

Key Responsibilities

Central Administration: ensures efficient operation of the administrative office that is central to the organization by providing direction and coordinating the overall operation of Administration including front office coverage in the absence of staff and volunteers.

Financial & Accounting: enters all financial and accounting related transactions regarding operations, reporting, and payroll using financial software and spreadsheets. Follows HFS procedures and ensures compliance with legal requirements.

Facility and Property: negotiates contracts and acts as the contact for agreements and oversees renovations and repairs with external vendors.

Knowledge, Skills, and Abilities

  • Ability to track, analyze data, and to calculate, post and manage accounting information and financial records with accuracy and attention to detail.
  • Ability to interact effectively with individuals in a variety of roles both internally and externally.
  • Ability to grow and sustain vendor relationships for assisting with the maintenance and services of facilities to ensure they meet employee and organizational needs.
  • An excellent and effective communicator both orally and in writing.
  • Skilled multi-tasker with strong time management skills; ability to juggle competing priorities; ability to work with and without supervision.
  • Knowledge of provincial and federal legislation applicable to the charitable sector.
  • Strong analytical and problem-solving skills.

Education, Training, and Experience

  • Experience in administration, donor databases, finances and payroll processing.
  • Education and or experience in financial reporting and the annual audit process for the non-profit charitable sector.
  • Proficient in Microsoft Office programs including but not limited to Word, Excel, PowerPoint and Outlook; working knowledge of database systems and their functions (Raiser’s Edge is an asset).
  • Proficient in QuickBooks.

Salary and Benefits

Salary range is $44,000-$46,000 commensurate with skills and experience. An excellent benefits package is included within a healthy and respectful workplace.

Part-Time Office Assistant

Term: June 29 – September 3, 2018

Hours: 15 – 30 hours per week between the hours of 9:00 – 4:00 pm

Compensation: $15.85/hour

Reports to: Resource Development Manager

General Duties:

Communication (75%)

  • Answering the phone and directing calls
  • Greeting walk-in visitors
  • Interacting with the public at special events & food drives
  • Assisting with social media posts & photos

Clerical (15%) – Typing, copying, data entry, scanning, mailing

Maintenance (10%) — Indoor/outdoor clean up and maintenance projects

Qualifications:

  • High school diploma
  • Experienced in dealing with the public
  • Demonstrated reliability and trustworthiness
  • Good written and verbal English
  • Attention to detail and an ability to sort, organize, and label
  • Good computer skills and experience with social media
  • Ability to lift & move 25 pounds
